Considerate Foot Care – Privacy Notices
to all Patients
You may be aware that new regulations came into force in May 2018 regarding Data Protection. This means that as a company Considerate Foot Care Ltd and Belinda Billinge as your Foot Health Practitioner and Director of Considerate Foot Care, have a duty to inform you of any personal information that we hold about you, why this information is taken, who has access to the information and how it is stored and used securely. This document has been compiled to explain this.
What Data will be collected/processed?
Your name, address, telephone number, email address, next of kin details, date of birth, GP details, medical history/details (including current medication)
For what purpose is the Data collected and used?
To enable Belinda Billinge to be able to appropriately provide treatment to you. If appropriate/necessary to contact your GP with regard to any findings that could need onward referral if outside of our remit of treatment. We may also use your contact details to provide you with appointment reminders as necessary via telephone, SMS or email.
Who will have access to the Data?
Belinda Billinge solely has access to all data held with the exception of patients seen at Fairford Therapy Centre where an additional Privacy Policy will be provided to you.
AT NO POINT WILL ANY OF YOUR INFORMATION BE PASSED ON TO ANY OTHER THIRD PARTY
How will the Data be stored?
All information given is encrypted and is stored on our Practice Management Software provider Footware and also on our new Management Software Ovatu Manager. Patient telephone numbers may also be stored on Belinda’s mobile phone.
How long will the Data be stored?
In line with the legal requirements of holding medical data, your record is stored for 7 years (or in the case of a minor until that minor reaches the age of 25 years) from the date of last treatment by us.
Please note that your right to be forgotten cannot override the legal requirement to keep medical notes for the mandatory period
When will the Data be destroyed?
All data will be destroyed after 7 years, or in the case of a minor once that minor reaches the age of 25 years

You may be aware that there are new regulations coming into force in May 2018 regarding Data Protection. This means that as a clinic, and as individual practitioners and therapists, we have a duty to inform you of any personal information that we hold about you, why this information is taken, who has access to the information and how it is stored and used securely. This document has been compiled to explain this.
As a clinic we are required to take certain personal information for the purpose of making your booking within our environment. The purpose of taking this information is so that we have a record of who is coming in and out of the clinic and using the facilities on a day to day basis. Personal information such as your name, contact number and email address are taken to enable the clinic to have access to the basic required contact information should your booking need to be reminded, amended or cancelled.
This information is taken and accessed either by your practitioner/therapist or by our clinic staff/practitioners within Fairford Therapy Centre. All information given is encrypted during the transfer process and is stored on our Practice Management Software provider Cliniko.
If you would like more information and the technical jargon on how this works please ask at reception and we will happily send you more information.
If your email address has been provided and you are happy for us to do so, we will send you confirmation and reminders of when your appointments are.
We will include you on our clinic newsletter that provides updates on what is going on within the clinic here in Fairford. You are able to unsubscribe to this facility at any point by clicking unsubscribe on the emails. Or you can request from your practitioner/therapist or the reception staff if you would like to opt out of this facility.

As part of your treatment your practitioner/therapist is required to ask certain questions regarding your health, wellbeing and/or lifestyle. This is a generally a legal requirement of each individual practitioner/therapists Code of Practice and is required by their regulatory body to ensure that they are providing you with the highest standard of treatment and care.
As a guide the information you give is retained securely for a minimum period of 6 years.
Any personal information is securely stored in a locked facility with only limited members of staff having access to this facility on a need to use basis. At no point would this information be given to any other third party
If you would like more specific information on how your information is stored and why please ask your individual practitioner for more information.
The Data Protection Act gives you the right to access any of the personal information that is securely stored by making a subject access request. Please ask your individual practitioner or therapist if you would like to exercise this right.
Finally, and most importantly, we hope that you enjoy your experience at Fairford Therapy Centre and are confident that we are doing the maximum required to ensure that any and all information taken and stored as part of this service is only done on a need to know basis and is at all times fully secured and protected.

Belinda Billinge solely has access to all data held with the exception of patients seen at Fairford Therapy Centre who will have the opportunity on their Registration Form to state whether or not they consent to their details being passed over to another Foot Health Practitioner to enable continuity of care for their feet. This information will only be passed over if the patient has expressly consented.
